Your packet in four steps

Start with the canonical apostille and Hague Convention foundation if you are choosing between apostille and legalization.

  1. Choose the source record: Use the issuing authority’s certified recorded instrument for an official record, or a properly notarized original for a private document. A public-record photocopy does not become the issuing office’s certified copy through a private notary. [NM-01]
  2. Identify the destination: SOS distinguishes an Apostille from its Certificate of Appointment for a non-Hague route. Check current treaty applicability through the canonical foundation linked above; further legalization may be needed for the latter. Do not select by a stale country list. [NM-01]
  3. File the request online first: Begin at the official Forms directory and choose Apostille/Authentication Request. Pay the published $3 per document by credit card or e-check. Include the generated authentication request with the originals; this is a physical-document step after online preparation. [NM-01; NM-02]
  4. Plan the physical return: For return abroad, SOS asks for a complete prepaid international airbill and addressed international envelope. Settle domestic return packaging, carrier eligibility and any international customs instructions before shipping; the reviewed page does not give a complete domestic return checklist. [NM-01]

New Mexico process: choose the document, resolve the destination, prepare the official request, plan return delivery.
A short visual reminder; use the dated steps and sources for details.

Birth certificates: eligible applicant and correct office

Request your own record or use an eligible immediate-family or documented legal-interest route. The application requires a photocopy of government-issued picture ID. Use its Birth Record Search Application or the specified signed request letter. Include event/parent details, your relationship, signature, mailing address and a physical address for the office’s files. [NM-03; NM-04]

NM-03 source NM-04 source

Birth procurement payment and mailing

NMHealth lists a nonrefundable $10 search fee per certified copy when the record is found. Mail a certified check or money order payable to New Mexico Vital Records with the required application/evidence to PO Box 26110, Santa Fe NM 87502. The application gives an average 6–12 weeks for mail processing, depending on volume and supplied information; this is record procurement, not SOS authentication time. The record fee and address are separate from SOS’s $3 apostille fee and Santa Fe submission address. [NM-03; NM-04]

NM-03 source NM-04 source

Online birth ordering is a separate service

NMHealth identifies VitalChek as its authorized ordering partner with separate service/shipping charges. Follow that link from NMHealth and verify the selected current total. A vendor’s record-production estimate is not the Secretary of State apostille queue, and no order is made by this guide. [NM-03]

Death, marriage and divorce records

Obtain birth/death certification from the State Registrar, not a notary’s photocopy. For a marriage record or divorce decree, identify the actual county/court custodian and the exact certified instrument required. Resolve access, record format, procurement fee and delivery before apostille filing; these local particulars were not established in this review. [NM-01]

NM-01 source

Company records

The SOS directs business-record purchases to its Business Services portal or Business.Services@sos.nm.gov, 505-827-3600 option 1. Identify the entity and exact certified filing or certificate, then establish the apostille-ready signature/output and current copy fee. An ordinary search result, certified filing and company officer’s notarized statement serve different purposes. [NM-05; NM-01]

NM-05 source NM-01 source

School records

Ask the actual registrar for its foreign-use certified/notarized output and whether it forwards originals. Do not assume a downloaded transcript or student’s own copy statement meets that requirement. The university apostille page located in search returned 404 on retrieval; no universal school preparation, price or forwarding route is claimed. [NM-01]

NM-01 source

Private signed documents

Establish the requested notarial act before signing; use the SOS certificate samples as references. Check the completed act and commissioning state before submission. For electronic originals or a foreign signer, determine the actual lawful notarization and authentication-output route rather than assuming the portal removes those questions. [NM-06; NM-01]

NM-06 source NM-01 source

Mail or deliver the original packet

The published mail destination is Secretary of State, 325 Don Gaspar, Suite 300, Santa Fe NM 87501. Include the online-generated request and the originals. Agency processing hours differ from the website footer’s general office hours, so confirm any in-person handoff before travelling. [NM-01]

NM-01 source

Keep the completed attachment intact

SOS describes an eyelet attaching the certificate to the original; removing it damages the document and invalidates the authentication. Keep a reference scan if useful, but send the intact physical output when that is required. A scan-back is not replacement issuance. [NM-01]

NM-01 source

What if something is wrong?

Identify whether the error belongs to the source record, notarial act, request or issued certificate. Obtain the office’s written return reason and correct that stage through the responsible issuer. Do not remove the eyelet, change an executed act or add stamps yourself. This is practical recovery guidance.

Do I need company or mailbox help too?

Existing Notary Geek operating notes distinguish company/address/USPS Form 1583 questions from company-record authentication. Keep those purposes separate when describing what you need. Direct official submission remains available; optional review, receiving or shipment help requires an agreed scope and price. This is operational context, not a New Mexico legal requirement.

Order the death record as its own product

The Death Record Search Application lists a $5 nonrefundable search including a certified copy if found, distinct from the $10 birth search and $3 SOS certificate. Complete the decedent/event facts, applicant relationship/purpose, signature, return details and government picture-ID evidence; establish eligibility and legal interest where required. The form includes a money-order payment choice payable to New Mexico Vital Records. Its mailing block gives PO Box 26110, Santa Fe NM 87502, and an average 6–12 week application interval subject to volume. This is vital-record procurement, not SOS processing. The issuer webpage’s current eligibility/payment wording could not be refreshed completely, so resolve any edge case before paying. [NM-07]

Worked case: Doña Ana recorded marriage copy

The clerk’s copy section lists $2.50 per certified marriage copy and typical mailing one-to-two business days after receipt and processing. Use its Copy Request Form and settle payment/return instructions with the clerk; the published contact is 845 N. Motel Blvd., Las Cruces NM 88007, 575-647-7421. One copy plus one $3 SOS certificate totals $5.50 before extras. The appointment notice concerns a new marriage license; it does not establish a copy-request appointment rule. [NM-08; NM-01]

NM-08 source NM-01 source

Worked case: Second District divorce decree

Its Domestic Relations Case Records Request form asks for case/party identifiers and document title/date, then separately offers certified and exemplified copies. A four-page certified copy is 4 × $0.35 + $1.50 = $2.90, or $5.90 with one $3 SOS certificate before other costs. Exemplification is separately priced at $4.50 plus copies; do not add it as an unsupported universal prerequisite. Ask the clerk for actual payment and certified paper delivery; reading the online form does not submit or pay a request. The form gives 505-841-7421 for domestic-relations questions. [NM-09; NM-01]

School certification: distinguish registrar facts from the notarial act

The SOS school sample has a registrar’s record certification followed by a sworn notarial certificate. Its disclaimer expressly does not warrant acceptance by the recipient. Use the actual school official and the required document facts; the sample is not a student’s substitute certification or an acceptance guarantee. Confirm what the registrar and recipient require before adopting any sample wording. [NM-10]

Additional school case: NMSU current-student enrollment verification

NMSU limits notarized enrollment verification to current students; former students are directed to official transcripts. Send an explicit apostille request, name/Aggie ID, daytime phone, expected graduation term/year, terms to verify, destination, return address and signature. Its charge is $10 each by check/money order to New Mexico State University. Mail to University Student Records Office, Attn: Notary, PO Box 30001, MSC 3AR, Las Cruces NM 88003. NMSU returns first class; another carrier method needs a prepaid addressed airbill, and pickup requires a previously scheduled appointment. Then use the current SOS online request/payment route: the NMSU page’s older instruction to mail a check to SOS does not override that agency’s own current directions. One $10 school service and one $3 SOS certificate make $13 before extras. No other school fee or timing is implied. [NM-11; NM-01]

Use the SOS business guide for navigation, not an output guarantee

The December 2024 guide’s copies/certificates section shows entity-name/Business ID search, the entity drawer and Request Certificate action, followed by My Copies and Certificates Request Work Queue. It gives a 90-day download window; save the issued output and verification information. This guide documents navigation, not today’s final fee, available signatory or acceptance of a customer printout for apostille. Keep the existing company-output questions above and confirm the precise certified product before ordering. [NM-12]

Separate the DPS products and the request’s notarization

DPS lists a $15 ordinary arrest-record check and a $33 Police Certificate of Good Standing with the background check. It requires a completed notarized release with original signature and money order/cashier’s check payable to Department of Public Safety. Its mail-only instruction gives 7–15 working days from receipt depending on volume; the published mailing address is PO Box 1628, Santa Fe NM 87504-1628. Notarizing the request does not itself authenticate the resulting report or establish an apostille-ready official signature. Confirm which state or FBI product and output the recipient actually requires. [NM-13]

Do not plan a Friday Business Services walk-in

The current SOS Business Services notice limits in-person walk-ins to Monday–Thursday and closes that service on Fridays, while phone/online service remains available. That is distinct from the website footer’s general Monday–Friday hours. Confirm the specific apostille handoff under the published processing instructions before travelling; this is not a same-day completion promise. [NM-14; NM-01]

NM-14 source NM-01 source

Resolve these exceptions before paying or shipping

Source confidence: Qualified agency-guidance review for the described ordinary routes; procurement, output and form limitations remain explicit. No independent all-statute audit, recipient acceptance, official contact or transaction test.

Electronic output: Online request/payment is documented; the source does not establish true e-Apostille issuance or a complete electronic-original intake/output process. Capability remains unknown. The published attachment description is a physical eyelet. [NM-01; NM-02]

Keep the packet intact: Keep the issued certificate attached to its document; preserve the original packet and any issuing-authority verification information.

Official forms, ordering links and claim sources

Bracketed source IDs in the guide point to these records. Each record identifies the exact supporting section or PDF page and its checked date. A checked date is an observation, not an effective date or service guarantee.

Optional document review is available only within an agreed paid managed-service scope. This free guide does not include personal DIY consulting.

Optional help after you choose the document process

You can use the official process without hiring Notary Geek. For a simple wet-ink signature, compare your bank or credit union, workplace, neighborhood notary, shipping store or mobile notary. Confirm the fee and the correct notarial act before signing. A notary cannot turn a private photocopy into the issuing office's certified record.

If physical shipping from abroad is the obstacle, separate document preparation, state submission, state return, scan-back and international shipment. A scan is not the physical apostille packet. Any receiving, label, shipping, review or full handled service needs its own agreed scope and price; this guide does not promise those services for every document or a faster state queue.
